Cadence Ops replaced our production spreadsheet jungle. One system for the whole festival — crew, logistics, permits, finance.
Nick Thompson · Festival Operations · Bush Doof
Starting Erectus Stretch Tents, I wanted to make sure the operations side was set up properly from day one — not cobbled together on notes and group chats like most event businesses end up. Cadence Ops has given me a proper system to manage bookings, crew, gear and client comms all in one place. As we grow, I know the back-end will scale with us. Really glad I found it early.

What changes when you switch

Four outcomes production teams ask us for. All four, on day one.

Calmer show days

Stop running shows out of WhatsApp and seven spreadsheets.

  • Single run sheet per event with live status
  • Crew call sheets and check-ins in one place
  • AI assistant answers "what's the status of…" in seconds

Higher margin per event

  • Catch under-quoted shows before they ship

More shows, same team

Take on the next event without burning out the crew that ran the last one.

  • Crew availability and conflicts visible at a glance
  • Inventory and kits prevent double-booking
  • Templated run sheets and contracts cut setup time

Compliance & risk handled

Sleep easy on insurance, permits and inductions.

  • Expiry alerts before they bite

AI controls built for real operations

Your assistant only sees what it's allowed to see.

Write access is off unless an owner enables it. Every AI action is logged — who requested it, what changed, and when. The same controls extend to the Agent API for external systems.

  • Read-only AI mode

Starter and Professional run the assistant in read-only mode. It can answer, summarise and surface gaps, but it can't change a thing.

  • Owner-controlled write access

Write access is off by default. Only a workspace owner can turn it on, and it can be revoked the same way.

  • Scoped Agent API tokens

Generate bearer tokens with fine-grained scopes — events:read, events:write, site_map:read. No shared passwords.

  • Role & permission checks

Every AI and token action runs through the same role and permission checks as a logged-in operator.

  • RLS-scoped data access

Row-level security in the database — the assistant sees only what the requesting user is allowed to see. Tenant boundaries are enforced at the data layer.

  • Full audit trail

Every AI action and token call is logged: prompt, scope, change, actor and timestamp. Export anytime.

  • Approval workflows

Sensitive actions can require explicit human sign-off before the AI commits the change.

  • Simulation mode

Preview what a change would do before it happens — no mystery writes, no broken assumptions.

  • Blast-radius containment

Bulk operations are capped, scoped and reversible. Undo controls keep mistakes recoverable.

  • Workspace isolation

Multi-tenant by design. Your workspace is your boundary — no cross-tenant queries, ever.

Agent integrations

Three steps to put your ops behind an agent.

Explore Agent API
  1. 1
    Mint a scoped token
    Settings → Agent API. Pick scopes (events:read, events:write, …).
  2. 2
    Register the OpenAPI spec
Point your agent at /api/public/agent/v1/openapi.json — tools auto-discover.
  3. 3
    Your agent runs your ops
Every call is RLS-scoped, signed and written to the audit log.

Hermes Agent and Agentzero A0 ready · Custom plans

Built for every kind of event operation

Pick the shape of your operation. Cadence Ops fits.

Festivals

Coordinate volunteers, permits, site operations, ticketing, compliance and multi-day logistics from one place.

AV production companies

Track crew, gear, trucks, quotes and margins across multiple concurrent shows without relying on spreadsheets.

Touring crews

Run sheets, call sheets, freight manifests and per-leg compliance — visible to the whole road party on phone or tablet.

Corporate events

Quote, contract, deliver and reconcile branded conferences and activations with the margin per event in plain sight.

Venues

Manage the production side of every event your venue hosts — incoming crew, gear, run sheets and finance, in one operational view.

Agencies

Production-ready ops behind the creative — clients, scopes, suppliers, compliance and live margin per activation.

Customer story

From spreadsheet jungle to one live ops view.

The problem

Crew assignments lived in WhatsApp. Gear allocations lived in a shared spreadsheet. Quotes lived in PDFs. Nothing reconciled — and show-day questions ended in a phone call.

The switch

Clients, events, crew and inventory imported from CSV. The next show was run in Cadence Ops in parallel for a single cycle, then the whole calendar moved across.

The result

One live event pipeline, one set of call sheets, and margin per event visible while the show was still being scoped. Coordination stopped being a meeting.

Saves me and the crew hours every week — coordination is finally easy.

Why Cadence Ops

Why not just use spreadsheets and a group chat?

Because every tool you're already using was built for something else. Here's the honest comparison.

vs. Spreadsheets + WhatsApp

Spreadsheets don't talk to each other, and group chats don't have memory. Cadence Ops keeps crew, gear, docs and finance connected — so nothing depends on someone checking their phone at the right moment.

vs. Generic project management tools

PM tools weren't built for load-in schedules, gear conflicts or compliance expiry. Cadence Ops maps to how shows actually run, not how a generic task board thinks work happens.

vs. Generic event software

Most event platforms stop at ticketing and registration. Cadence Ops covers what happens before and after the ticket — crew, logistics, compliance and margin.

vs. AI wrappers with no operational guardrails

Bolting a chatbot onto your ops doesn't make it safer or smarter. Cadence Ops scopes every AI action to specific permissions and logs everything — so automation never means losing control.

Ticketing integration

Your ticketing platform, wired into ops.

Connect Humanitix or Eventbrite in a click and pull every event, order, attendee and payout into Cadence Ops. Live sold counts on your event pipeline, finance reconciled to the cent, and a built-in door check-in that scans QR tickets in under 200ms — no extra app for your crew.

Humanitix · liveEventbrite · liveTryBooking · soonMoshtix · soonOztix · soon

One-click sync

Paste a Humanitix API key or connect Eventbrite via OAuth — Cadence Ops pulls events, capacities, orders and attendees on a schedule or on demand.

Door check-in

Open the check-in screen on any phone or tablet. Scan QR tickets, see live admit counts, and flag duplicates instantly.

Revenue in finance

Gross sales and payouts land in your finance module automatically — margin per event includes ticket revenue, not just quotes.

FAQ

Questions, answered.

Will my crew actually use this?

It's built around how shows actually run — pipeline to reconciliation — not a generic project board retrofitted for events. The workflows match load-in schedules, gear conflicts and show-day comms, so adoption doesn't fight muscle memory.

What happens to our existing spreadsheets and docs?

Import what you have. Clients, events and inventory come in from CSV, and larger migrations are part of onboarding. You're not starting from a blank system.

Can we control what the AI assistant can touch?

Yes. Every permission is scoped by role, every write is logged, and the owner controls whether the assistant is read-only or allowed to make changes. The Agent API uses the same scoped-token model for external systems.

Is there a contract lock-in?

No. Plans are month-to-month unless you choose annual pricing. You own your data and can export at any time.

How long does setup take?

Most teams are running their first event inside two weeks. Templates, CSV import and guided onboarding do most of the lifting.

Which ticketing platforms do you integrate with?

Humanitix and Eventbrite are live — connect Humanitix with an API key or Eventbrite via OAuth, then sync events, orders, attendees and payouts on a schedule. TryBooking, Moshtix and Oztix are on the roadmap. A built-in QR door check-in works on any phone or tablet for any connected event.

Do you support external tools and agents?

Yes. The Agent API exposes your ops to Hermes Agent, Agentzero A0 and other systems with fine-grained read/write scopes and full audit logs — the same permission model as the core platform.
